Why is paper still around

Why is paper still around everywhere haunting our offices and threatening our business everyday. Why do all the mighty IT systems seem powerless to free our offices from paper.

The answer lies, I believe , in the process of change.

Some of the very essential steps in creating the required change is beginning to gather knowledge and elevate awareness about what is wrong with what we do today.

We need to honestly admit that our love and holding to paper has not only damaged our environment, but has also caused serious retrograde to our businesses advancement.

Despite the breakthrough in IT and Communications we are still depending on Paper as a main conveyor for our businesses.

It is our obsession and inability to let go of Paper that is depriving us of the many opportunities that come with paper free intelligent content.

We need to elevate the level of consciousness to ignite a burning desire for change.  We need a revolution to liberate content from Paper.

Only then will we be able to have a clear vision of where wish to go. Hence we will be ready for the Digital Transformation we are striving to achieve and the creation of a new digital lifestyle to enjoy outside the Paper Prison.

March 30th is the National Pencil Day!

HOW TO OBSERVE ? “Pick up some new pencils and use #NationalPencilDay to post on social media.” .

Can you believe that we are observing the National Pencil Day, when pencils can only be used on paper! , and paper destroys our environment and handicaps our business. It looks like a Paper Prison.

Why we are celebrating the National Pencil Day on March 30th? Because on this day back in 1858 Hymen Lipman received the first patent for attaching an eraser to the end of a pencil !. Ever since this has been declared as the National Pencil Day.

The reason why we REALLY celebrate that day is the undisclosed LOVE for writing on Paper using Pencils.  After all these years of using Paper and pencils we find it difficult to do without them. All the Technologies that we have today have not been able to make the necessary transition into the liberation of our Intellectual content from Paper.

Here, today on March 30th 2016, after years of Hymen Lipman’s receipt the first patent for attaching an eraser to the end of a pencil, we still are using pencils and enjoying our everlasting love for Paper and pencils. In my Book Paper Prison I call it Prison of the Heart and Mind. You can order a copy if you are interested. IT IS PRINTED ON PAPER!!

Part 4: Digital Transformation as a lifestyle

What is required is a fresh look at business operational requirements and a revamp of information management practices.

On the Operational side we need to challenge current business practices focusing on consistency of business practices and how business processes are managed.

On the Information side we need to reassess what information we have and what information we need. Think out of the box for new information management practices. We also need to consider intelligent information when we design, create and manage information content.

Our look should be focused on free intelligent information content free from constrains of paper (document) size, handling and storage.

But the most required transformation required remains the change in our life style. If we continue to “Think” paper we will never achieve transformation. The way handle ourselves and they way we use technologies will determine how successful we are in making the transition from Paper Prison to the era of Digital Transformation.

Part 3: Why technology is not enough

Technology should not be seen as the Be all and End all solution for information management. Alone, without thought and planning it is just not enough. The lack of senior management endorsement and enforcement also causes lack of leadership and the vision required for a paradigm shift and hence for realization of Transformation

There are many cases where the best technology software was used in organizations only to create more chaos and confusion and possibly business disruption.

There are stories of organizations that scan every paper document available only to create a large digital landfill. There are people who till today print emails and file them in paper format. In some airports around the world they still ask for a paper printout of the eticket at the airport entrance.

Popular news papers are still printed today in paper format despite the abundance of technological solutions for the creation, dissemination and delivery of digital information.

All the examples mentioned and many others prove that technology alone will not end the suffering of organizations and service providers.

Part 2: The Essence of Paper Prison

Over the years we have extravagantly used paper for our business and daily lives. Over time we have confused the role of paper as a simple carrier for our content with it being the reason d’etre  of our business. The REAL predicament was when we tightly coupled our business processes and work flow with the flow of paper.

With business processes and workflow under siege by paper, we continued to introduce more complications such as the requirement for the Original paper to be included in the workflow as a process.

We also insisted that papers be signed and sealed before the work could flow. This necessitated the need for copies and printers and more paper and more confusion towards the state of chaos.

Today with all the technologies that we have invented and owned we are unable to liberate ourselves of Paper. We probably do not want.

Over the years we have gotten so much intimate with Paper; we love paper and feel proud when our report is 50 pages of paper irrespective of its content. Some of our families live of paper for a living, in the case of someone who is a Document controller or Manager Archives or the like.

Paper has crept into our hearts and minds and today it will be difficult to heal our offices from the Paper addiction or what I call the Paper Prison.

Part 1: The meaning of Transformation

I have searched the Webster dictionary and other business dictionaries to find the linguistic  meaning of Transformation.  The Merriam-Webster definition of Transformation is The act or process of changing completely:  a complete change.

The operation of changing (as by rotation or mapping) one configuration or expression into another in accordance with a mathematical rule; especially:  a change of variables or coordinates in which a function of new variables or coordinates is substituted for each original variable or coordinate.

Notice two things here in this definition; one is the use of the words changing completely :  complete change in the first definition. In the second definition notice the use of the phrase new variables or coordinates is substituted for each original variable or coordinate.

The call for Complete Change or the Substitution of certain Variables is very clear and strong in the meaning of Transformation. It is Not dealing with the same Variables in a Different way.

In the Business Dictionary the definition of Transformation is the Changes made in a business or other organization which improve the company’s employee and management participation in the development of the business. A transformation process can give a failing business new life and can improve smooth operation of any company.

What is stunning about this meaning is that transformation gives a NEW LIFE to a business, not a band aid to it paper handling illness. It enables the business to go through a Paradigm Shift.

A Paradigm Shift according to Stephan Covey is what we might call the “Aha!” experience when someone finally “sees” the composite picture in another way.

Here again it is the “Aha!” experience that makes Transformation awesome and different from what we have been doing over the years trying to pave the road for the cow.

We need to realize and admit that we have locked ourselves and our businesses in a prison of paper before we can seek a way out. The better we understand where we are today the best we can understand the need for a way out.

The word Transformation to me was like a dream come true. For years I have been looking for a single word that would give all the meanings for the liberation from the Paper Prison.  Transformation does have the essential essence required for a new life away from the Paper Prison.

The problem with the Paper Prison is that it has, over the years, affected (and infected) our Minds and has intimidated our Hearts.

Technology (alone) has over the years contributed to, but has never presented THE solution of our paper Chaos.

This is why Transformation holds all the meanings required to take Technology one step further to the required Digital Transformation and puts forth a script for a Digital Lifestyle.
